Group booking or one file with multiple travel agreements for different clients

Learn how to set up a group booking or manage several travel agreements under one file.

You can manage a group trip by creating one main file that includes multiple passengers and travel agreements.

To create a group file

  1. Create a new file.

  2. Select a main booker

    1. You can also choose to use the group name as the main booker — for example: Group Trip Paris.

  3. Fill in the Travel Info (destination, dates, status).

  4. Add passengers using the Add Passenger button.

  5. Create a service line for the first travel agreement.

  6. Duplicate this line by clicking the ⋮ (three dots) icon at the end of the row.

  7. Click Copy.

  8. Click OK.

  9. Click No.

  10. The line is now duplicated. Double-click the copied line to edit it — for example: adjust passengers, price, or room type.

  11. To create a travel agreement, select the relevant service line.

  12. Click Make Travel Agreement.

  13. In the pop-up, choose Passenger related to selected service only.

  14. You can now change the client if needed.

  15. Continue processing the file as per the usual workflow.

This method allows you to assign each service line to a different client — ideal for managing several individual agreements within one group file.

💡 Tip: Clearly label each service line with the correct passenger’s name to keep the group file organized and ensure accurate follow-up by Admin and Accounting.
