Creating a Travel Agreement

Learn how to create a Travel Agreement once all services have been added to a file.

A Travel Agreement is the official booking confirmation sent to your client. It lists all services, travelers, and prices — and is the foundation for invoices and e-sign approvals.


Before you start

Make sure your file is complete:

  • Client (main customer) is selected

  • Travelers are added

  • Services are correctly entered (flights, hotels, etc.)

  • Travel info (dates and destination) is accurate


Steps to create a Travel Agreement

  1. Go to the General tab in your file.

  2. Click the services you want to include in the agreement.

  3. Click Make Travel Agreement.

  4. Select Passenger related to selected services only.

  5. Add a file fee (if applicable, add VAT).

  6. Review and fill in the required fields:

    • Customs formalities

    • Visa Info

    • Health formalities (if applicable)

    • Assurance

    • Standard Information Document (*) mandatory

    • Cancellation terms (*) mandatory

  7. Choose whether to generate a deposit or balance invoice, or skip invoicing for now.

  8. Click Save 💾 and Print or Send for E-Sign.

💡 Tip: You can create multiple Travel Agreements within the same file — for example, if travelers live at different addresses.


After creation

The new Travel Agreement will appear under the Documents tab and Travel Agreement tab.
