Using E-Sign for customer approval

Learn how to send a Travel Agreement for electronic signature (e-sign).

Once a Travel Agreement is created, you can send it digitally to your client for approval. The e-sign process includes the Travel Agreement, invoice, and general terms and conditions.

Steps to send for e-sign

  1. Open the Travel Agreement tab in your file.

  2. Select the agreement you want to send.

  3. Click Send for E-Sign.

  4. Confirm the recipient’s email address (usually the main client).

  5. Click Send.

Your client will receive an email with a secure link to review and approve the documents.


How the client sees it

  1. They open the email and click the link.

  2. They view the Travel Agreement, invoice, and conditions online.

  3. They confirm acceptance by clicking Approve / Sign.

Once signed, you’ll see the updated status in your Documents tab:

  • ✉️ Pending (sent but not yet signed)

  • ⏳ Awaiting approval

  • ✅ Signed and approved

💡 Tip: Always check the document status before invoicing — only approved agreements should move forward.

  • Sending a new trip confirmation

  • Resending after adjustments

  • Getting approval for additional services or updated prices

⚠️ Warning: Don’t manually print and scan — use e-sign for legal and audit compliance.
