Issuing a credit note (deposit or balance)

Learn how to issue a credit note to cancel or correct a deposit or balance invoice.

A credit note is used when an invoice needs to be reversed — for example, if a trip is cancelled or an amount must be refunded.


Steps to issue a credit note

  1. Open the General tab.

  2. Select the invoice you want to credit (deposit or balance).

  3. Click Make Credit.

  4. Confirm the action with the message Create Credit.

  5. TravelMind will automatically:

    • Create the credit note

    • Cancel the linked Travel Agreement

    • Mark the original invoice as credited


After crediting

  • The credit note appears in the invoice list with type CRE.

  • The related Travel Agreement status changes to “Cancelled.”

  • You can resend the updated documents to the client.

💡 Tip: If a Travel Agreement includes multiple services and only one needs to be cancelled, copy the remaining services into a new agreement instead of crediting the entire file.

💡 Tip: You can also open the invoice and adjust the amount of the invoice to balance the remaining part (for example, if you only need to refund €50 to the customer because they didn’t get the correct seats).


Important reminders

  • Never delete invoices — always issue a credit note instead.

  • Insurance or transfers on the same invoice must be re-invoiced separately after crediting.

  • Check with Admin before crediting supplier-related files.
