Understanding the tabs inside a file

Learn what each tab in a TravelMind dossier does and how to use it.

Each file in TravelMind contains horizontal tabs. These tabs organize all trip details, making it easy to manage every part of the booking from one place.

1. General

This is where most work happens.
Here you’ll find:

  • Client details (Main booker)

  • Travel info (destination, dates)

  • Traveler list (passengers)

  • Notes / Admin Notes

  • All added services (flights, hotels, cars, insurance, etc.)

💡 Tip: Always check that the client, travel info, and travelers are complete before creating agreements or invoices.


2. Quotes (Offerten)

Used for preparing offers or travel proposals before confirmation.

  • You can preview what the final travel agreement will look like.

  • Useful when the client asks for several versions of a trip.


3. Travel Agreement (Contract)

This is the official booking contract for the client.

  • Lists all selected services, travelers, and prices.

  • Can be sent for e-signature directly from this tab.

  • You can create several agreements in one dossier (e.g., when travelers live at different addresses).

4. Invoices (Facturen)

Shows all invoices and credit notes created for this file.

  • “I” = Invoice

  • “C” = Credit note

  • “DEP” = Deposit

  • “INV” = Balance

  • “CAN” = Cancelled

Once confirmed, invoices can no longer be edited.


5. Payments

Displays received client payments and payment method:

  • CC = credit card

  • BNK = bank transfer

Useful for verifying balances or reconciling with accounting.


6. Purchases

Lists supplier invoices and commissions.

  • “Purchases only” → supplier costs

  • “Profitability by supplier” → margin or commission per supplier

💡 Tip: Use this tab to double-check your commission before closing a file.


7. Audit

Logs who opened or changed the dossier.
Ideal for tracking collaboration and verifying changes.


8. Documents

Stores all travel documents generated or uploaded.

  • Travel agreements, invoices, credit notes

  • Supplier vouchers or attachments

Each line shows the document status (sent, waiting for signature, approved).

9. Tasks

Allows you to create reminders linked to the dossier.
Examples:

  • “Send travel documents 10 days before departure.”

  • “Check payment to supplier.”

These tasks also appear on your main TravelMind dashboard.

💡 Tip: Keep your tasks updated — completed tasks help Admin know when files are ready to close.
