What is a file and when do you create one?

A File is the main travel file in TravelMind โ€” it gathers every detail of a clientโ€™s trip: bookings, invoices, documents, travelers, and notes. Each new booking, quotation, or group trip must be registered under its own dossier.

When to create a new file

You create a new file when:

  • You start a new trip, booking, or quotation for a client.

  • The client changes destination, travel period, or supplier.

  • A gift voucher is used for a new trip (create a new file, link to the original voucher file).

When not to create a new file

  • When only a service is added or modified in an existing trip.

  • When the client requests a minor change (e.g., new flight or extra hotel night).
    You can simply edit or copy a service line instead.

๐Ÿ’ก Tip: Each file has a unique number and can be linked to others (e.g., voucher or group files). Always note related file numbers in the Notes field.
