Correcting mistakes in a file (step-by-step)

Everyone makes small mistakes β€” a wrong traveler, a missing service, or an incorrect price.

Follow these steps to correct them properly while keeping the audit trail intact.

Step 1 – Identify the issue

Use the Audit tab or your Notes to confirm what went wrong:
wrong client, incorrect service price, or missing data.


Step 2 – Check invoice status

  • If no invoice has been issued yet β†’ you can freely edit services or travelers.

  • If an invoice exists β†’ you must issue a credit note before making changes (see Collection 4 Article 5).


Step 3 – Apply the fix

  • Wrong client: change the main customer (Hoofdboeker) in the General tab.

  • Incorrect service info: open the service line, edit, and click Save.

  • Duplicate service: delete using the red cross ❌ if not invoiced.

  • Missing service: add it manually under β€œAdd Service.”


Step 4 – Re-create documents if needed

If your fix affects totals or descriptions:

  1. Cancel or credit the old Travel Agreement or invoice.

  2. Re-create a new one with the correct details.


Step 5 – Add an internal note

Always log what you changed and why in the Notes field:

β€œ2025-07-12 – Adjusted hotel price from €900 to €850 due to TO discount.”

This helps Admin and other users follow the correction.
