1. Overview
TravelMind features two dashboard views accessible from the main navigation under Dashboard:
• Admin Dashboard — The Admin Dashboard (adminDashboard) gives managers and administrators a company-wide or agency-wide view of sales, margins, file pipeline, and operational KPIs. It is fully configurable per agency.
• Agent Dashboard — The Agent Dashboard (agentDashboard) is a personal view for each consultant, showing their individual commission progress, daily inspiration, and their own sales performance.
Both dashboards share the same filter toolbar and layout customisation mechanism.
2. Common Interface Elements
2.1 Top Navigation Bar
The blue header bar is present on all pages and contains:
• TravelMind logo — click to return to the main dashboard.
• Data notice — indicates the data scope. 'TravelMind Data 01/01/2021 and later' is the default live dataset. 'Data before 2021' is a link to access the historical archive.
• Live badge — shows the current environment (Live vs staging/test).
• Agency selector — dropdown to switch between agencies. Administrators can view any agency; agents typically see their own. In BTS context this is 100 - ANT - BTS Travel Antwerp.
• User indicator — shows the logged-in user (e.g. User: NAT). Click the avatar for profile settings.
• Logout button — ends the session.
2.2 Dashboard Filter Toolbar
Directly below the navigation bar, a toolbar controls what data all widgets display:

2.3 Edit Layout
The Edit Layout button (top-right of the filter toolbar) allows customisation of which widgets appear on the dashboard. When clicked:
• Each widget gets a red trash icon in its top-right corner to remove it from the layout.
• The 'No Deleted Component' dropdown becomes active — select a previously removed widget to add it back.
• The agency selector becomes editable to configure layouts per agency.
• Save Layout persists the changes; Cancel discards them.
Each agency can have its own custom widget layout. The layout is saved per-agency, not per-user.
3. Admin Dashboard — Widget Reference
URL: /adminDashboard Access: Administrators and managers.
The Admin Dashboard provides a full agency-level performance overview. All values reflect the agency selected in the top Agency dropdown and the year selected in the filter toolbar.
3.1 Sales Widgets
Sales by Month (vs previous year)
Shows total sales revenue in € for each month of the current year, compared to the same month of the previous year as a grouped bar chart.
• Current Year bars are blue; Previous Year bars are teal/green.
• Above the chart: the latest month's total (e.g. Jun 2026 €1,649,555.01), a coloured percentage indicator showing month-over-month change (green = up, red = down), and the absolute difference vs the previous month.
Data lag: figures reflect bookings recorded in TravelMind. Last-month data may update throughout the month.
Sales by YTD (vs previous year YTD)
Shows the cumulative sales total for the current year-to-date versus the same period last year, as a large KPI value with a trend indicator.
• Displays the YTD total (e.g. €1,629,496.10) and the year-over-year percentage change (red downward arrow = decline vs prior year YTD).
• Also shows the absolute difference in brackets (e.g. -€3,652,309.60 Year Over Year).
Useful for a quick read on whether the agency is tracking ahead or behind versus last year.
Total Sales YTD vs Previous Full Year
A bar chart comparing the current year's YTD total to the previous year's full-year total side by side.
• Helps gauge how far through the prior year's total revenue the agency currently sits.
• Labels 'Current Year' and 'Previous Year' on the X axis.
Sales by Category
A donut/pie chart (two panels: previous year and current year) showing the breakdown of sales volume by travel category.
• Categories: AIR (flights), CAR (car rental), HTL (hotels), INS (insurance), OTH (other), PCK (packages), TRA (transfers/trains).
• Both panels display simultaneously so year-on-year product mix shifts are immediately visible.
3.2 TOI (Tour Operator Invoice) Widgets
Number Of TOI Files
A single KPI number showing the total count of TOI (Tour Operator Invoice) files recorded in the system for the selected agency and year.
TOI files are a specific TravelMind file type used for package/operator invoicing workflows.
Value Of TOI Files
The total monetary value (€) of all TOI files. Complements the count widget above — together they let you spot average TOI file size anomalies.
3.3 Margin Widgets
Margin by Month (vs previous year)
Same structure as 'Sales by Month' but shows gross margin in € per month, with current vs previous year comparison bars and the month-over-month trend indicator.
The subtitle reads 'Shows total sales in € for the last month' — this is a label artefact; the widget measures margin, not sales.
Total Margin Current Year
A single KPI showing the cumulative margin in € for the current year up to the most recent complete month. Label notes a -2 month lag (i.e. data is confirmed two months after the travel date).
• Displays the total (e.g. €803,242.79) and the last updated month.
Average Margin By File
Shows the average margin percentage per travel file for the last available month (with -2 month lag). Expressed as a percentage.
• Useful for spotting whether per-file profitability is improving or deteriorating.
3.4 Operational Widgets
Avg File Size
The average monetary value of all travel files in €. Shows a single KPI number (e.g. €332.53).
• Reflects average booking value across all file types in the selected period.
Avg Time
The average number of days between file creation and the travel departure date. Shown as a single number with 'days' label (e.g. 9 days).
• Indicates how far in advance customers are booking on average.
Pipeline for Next Year
Shows the count and total value of files already created for the following year (e.g. 2027 when viewing 2026). Gives an early visibility indicator of forward bookings.
• Displays file count and total value in €.
• Useful for revenue forecasting and capacity planning.
Number Of Invoice To Send
A count of files that have an invoice ready to be sent but not yet dispatched. Acts as an operational task reminder.
• When this number is non-zero, someone needs to process outstanding invoices.
4. Agent Dashboard — Widget Reference
URL: /agentDashboard Access: All logged-in agents (personalised to the current user).
The Agent Dashboard greets the user by name (Welcome NAT) and provides a personal performance view. Unlike the Admin Dashboard, data here is scoped to the individual agent, not the whole agency.
4.1 Invoiced in Commission (Commission Progress Bar)
This is the most distinctive widget on the Agent Dashboard. It shows the agent's commission earnings progress against their targets for the year.
• Displays the total invoiced commission amount in € (e.g. €0.00 for an agent with no personal invoiced sales in this scope).
• A horizontal progress bar spans four milestone thresholds, each associated with a commission rate step:

• The arrow marker on the bar shows current position. As the agent reaches each threshold, their commission rate steps up.
This widget is linked to the 'supercomm' incentive system referenced in its subtitle. The thresholds and rates may vary by agent contract.
4.2 Quote Of The Day
A motivational or philosophical quote displayed to the agent each day. The quote changes daily and is not configurable by the agent.
• Displayed with the author attribution below the quote text.
Purely inspirational — no interaction, no data.
4.3 Business in the Books
Shows the agent's confirmed bookings pipeline — files that are created and confirmed but where travel has not yet taken place. This represents 'committed future revenue'.
• Typically displayed as a list or summary of upcoming travel files assigned to the agent.
• Helps the agent keep track of upcoming departures and any pending tasks.
4.4 Sales by Month (vs previous year)
Identical in structure to the Admin Dashboard version but scoped to the individual agent's own files only.
• Shows the agent's monthly sales revenue vs the same period last year.
• Useful for tracking personal performance trends month by month.
4.5 Total Sales YTD vs Previous Full Year
Shows the agent's own year-to-date sales total compared to their full prior-year total, as a bar chart.
• If the agent has no personal file data attached (e.g. an admin user or new agent), shows 'No Data Available'.
Data availability depends on files being assigned to the agent in TravelMind. Unassigned or shared files may not appear here.
5. Tips & Best Practices
5.1 Switching Agencies (Admin only)
Use the Agency dropdown in the top navigation bar to switch context. All widgets reload immediately to reflect the selected agency. This is useful for regional managers overseeing multiple entities (ANT, IT, SE...).
5.2 Year Comparison Logic
All 'vs previous year' widgets use the Year selector in the filter toolbar as the 'Current Year'. The previous year is always Current Year minus 1. If you select 2025, widgets compare 2025 vs 2024.
5.3 Data Lag on Margin Widgets
Margin widgets (Total Margin Current Year, Average Margin By File) carry a -2 month lag. This is by design — final margin on a travel file can only be confirmed after the trip has taken place and all supplier invoices are received. Do not compare margin YTD directly to sales YTD without accounting for this lag.
5.4 Customising the Layout
Each agency can have a different widget layout. To add or remove widgets:
• Click Edit Layout (top right of the filter toolbar).
• Click the red trash icon on any widget to remove it.
• To restore a removed widget: use the 'No Deleted Component' dropdown — it lists all widgets not currently on the layout. Select one to add it back.
• Click Save Layout to confirm, or Cancel to discard.
Layout changes affect all users of that agency. Coordinate with your administrator before making structural changes.
5.5 No Data Available
Some widgets display 'No Data Available' when there is no data matching the current filters (year, agency, agent). This is normal for new agencies, new agents, or when viewing a year with no activity. It is not an error.
